This policy (“Privacy Policy”) is applicable to Eternity Claim Solutions LLP (Eternity Solutions) and/or branch offices in India. It provides the practices and policies applicable to Eternity Solutions (including its employees, interns, contractors, consultants, clients, customers or any other party directly or indirectly engaged for the purpose of business or otherwise) for handling of or dealing in Personal Information, including Sensitive Personal Data or Information (as defined below) that is lawfully collected by Eternity Claim Solutions LLP, hereby referred to as “Eternity Solutions”. We collect personal data of our employees, potential employees, clients, suppliers, business contacts and website users or any other individual or entities wherever required for business purposes or otherwise.

 

IMPORTANT: GMAIL ACCESS REQUIREMENT

Mandatory Gmail Access: To provide our insurance claim settlement and grievance resolution services effectively, we require access to your Gmail account. This access is essential for managing correspondence with insurance companies, tracking claim progress, and ensuring timely responses. By engaging our services, you acknowledge and consent to this mandatory requirement.

Eternity Solutions attaches great importance to your right to privacy and the protection of your personal data. We want you to feel secure that when you deal with Eternity Solutions your personal data is in good hands.

Eternity Solutions protects your personal data in accordance with applicable laws and our data privacy policies. In addition, Eternity Solutions maintains the appropriate technical and organizational measures to protect your personal data against unauthorized or unlawful processing and/or against accidental loss, alteration, disclosure or access, or accidental or unlawful destruction of or damage thereto

 

General Definitions

  • Reference to “you” or “your” in this Privacy Policy refers to any natural person (including the employees of Eternity Solutions) who provides to Eternity Solutions any information referred in Appendix 1 of this document.

  • “Act” shall mean the Information Technology Act, 2000 and Rules thereunder as amended from time to time.

  • “Information” shall mean and include Personal Information and Sensitive Personal Data and Information as may be collected by Eternity Solutions.

  • “Personal Information (PI)” shall have the same meaning as under Rule 2 (i) of the Information Technology (Reasonable security practices and procedures and sensitive personal data or information) Rules, 2011 as amended from time to time. For ease of reference Rule 2(i) of the Information Technology (Reasonable security practices and procedures and sensitive personal data or information) Rules, 2011 is re-produced under Annexure A.

  • “Rules” shall mean the Information Technology (Reasonable security practices and procedures and sensitive personal data or information) Rules, 2011 as amended from time to time.

  • “Sensitive Personal Data and Information (SPDI)” shall mean and include information under Rule 3 of the Information Technology (Reasonable security practices and procedures and sensitive personal data or information) Rules, 2011 as amended from time to time. For ease of reference Rule 3 of the Information Technology (Reasonable security practices and procedures and sensitive personal data or information) Rules, 2011 is re-produced under Annexure A.

  • “Gmail Data” shall mean all email communications, attachments, metadata, and related information accessible through your Gmail account that is relevant to insurance claims, policy matters, and grievance resolution.

  • “Email Access Services” shall mean the authorized access to client Gmail accounts for the purpose of insurance claim management, correspondence handling, and grievance resolution.

All words and expressions used and not defined in this document but defined in the Act or the Rules shall have the meanings respectively assigned to them in the Act or the Rules.

Eternity Solutions is fully committed to respecting your privacy and shall ensure that your Information is safe. This privacy policy sets out the practices adopted in respect of Information, including the types of Information that is collected, how the Information is collected, how the Information is used, how long the Information is retained and with whom it is shared (“Privacy Policy”). This Privacy Policy is published in compliance with the provisions of the Act and the Rules made thereunder that require publishing the privacy policy on Eternity Solutions website.

Gmail Access and Email Data Collection:

Scope of Gmail Access: Our Gmail access includes but is not limited to:

  • Reading emails related to insurance policies, claims, and grievances
  • Sending emails on your behalf to insurance companies and regulatory authorities
  • Managing email threads and correspondence history
  • Accessing and downloading relevant attachments and documents
  • Organizing emails into folders for case management
  • Setting up automated responses and follow-ups
  • Monitoring deadlines and important dates mentioned in emails

Purpose and Legal Basis for Gmail Access:

        Gmail access is essential for:

  • Insurance Claim Processing: Managing communications with insurance companies to expedite claim settlements
  • Grievance Resolution: Handling disputes and complaints related to insurance policies
  • Mis-selling Cases: Collecting evidence and managing correspondence for mis-selling complaints
  • Documentation: Maintaining comprehensive records of all insurance-related communications
  • Timely Response: Ensuring prompt replies to insurance company queries and requests
  • Legal Compliance: Meeting regulatory requirements and deadlines

Gmail Data Security and Protection:

For Gmail access, we implement the following security measures:
  • OAuth 2.0 Authentication: Secure authorization without storing your Gmail password
  • Limited Scope Access: Access restricted to insurance-related emails only
  • Encrypted Connections: All data transmission encrypted using industry-standard protocols
  • Access Controls: Only authorized personnel can access your Gmail data
  • Regular Audits: Periodic review of access logs and usage patterns
  • Data Minimization: We access only the minimum data necessary for service delivery
  • Secure Storage: Any downloaded emails or attachments stored in encrypted databases.

Gmail Data Retention and Deletion:

  • Gmail access is maintained only during active case management
  • Access is automatically revoked upon case completion or service termination
  • Downloaded email data is retained for 7 years for legal compliance
  • Clients can request immediate revocation of Gmail access at any time
  • All Gmail-related data is permanently deleted upon client request (subject to legal requirements).
Security of Information:

Eternity Solutions strives to ensure the security, integrity and privacy of your PI/SPDI and adequacy of protection of your Information against unauthorized access, alteration, disclosure or destruction. Stringent security measures (physical, electronic and managerial) are in place to protect against the loss, misuse, and alteration of the PI/SPDI under our control. Eternity Solutions servers are accessible only to authorized personnel and your Information is shared with employees and authorized personnel strictly on a ‘need to know’ basis. Eternity Solutions periodically assesses, audits and updates its information security protocols and policies to achieve the highest standards on a continuous and ongoing basis. You may review the Information you have provided to Eternity Solutions at any time. On your request, Eternity Solutions will ensure that any PI/SPDI notified to be inaccurate or deficient, shall be corrected or amended. However, Eternity Solutions shall not be responsible for the authenticity of the PI/ SPDI.

Notwithstanding anything contained in this Privacy Policy or elsewhere, Eternity Solutions shall not be held responsible for any loss, damage or misuse of your PI/SPDI, if such loss, damage or misuse is attributable to a Force Majeure Event.

Your Rights Regarding Gmail Access:
  • Right to revoke Gmail access at any time
  • Right to request a report of all Gmail activities performed
  • Right to limit the scope of Gmail access to specific folders or time periods
  • Right to receive copies of all emails sent on your behalf
  • Right to request deletion of all Gmail-related data
  • Right to file complaints regarding Gmail data handling
Consent and Acknowledgment:

By engaging our services, you provide explicit consent for:

  • Mandatory Gmail access as described in this policy
  • Processing of your email data for insurance claim purposes
  • Communication with insurance companies on your behalf
  • Storage and processing of Gmail data as outlined above
Third-Party Sharing of Gmail Data:

Your Gmail data may be shared with:

  • Insurance companies relevant to your claims
  • Regulatory authorities as required by law
  • Legal advisors (under strict confidentiality agreements)
  • Consumer protection agencies when necessary

We will never sell or commercialize your Gmail data.

Annexure A
  • Rule 2(i)

    “Personal information” means any information that relates to a natural person, which, either directly or indirectly, in combination with other information available or likely to be available with a body corporate, is capable of identifying such person.

  • Rule 3

    Sensitive personal data or information of a person means such personal information which consists of information relating to:

    • password
    • financial information such as Bank account or credit card or debit card or other payment instrument details
    • sexual orientation
    • medical records and history
    • Biometric information
    • any detail relating to the above clauses as provided to body corporate for providing service
    • any of the information received under above clauses by body corporate for processing, stored or processed under lawful contract or otherwise: provided that, any information that is freely available or accessible in public domain or furnished under the Right to Information Act, 2005 or any other law for the time being in force shall not be regarded as sensitive personal data or information for the purposes of these rules.
    • Information collected from clients
    • Sensitive personal data or information of a person means such personal information which consists of information relating to:-
    • Name
    • Date of Birth
    • Address
    • Email ID
    • Gender
    • Phone number
    • Details like mobile number, email
    • Gmail account data and email communications
    • Insurance policy information and claim documents
    • Email attachments and related metadata
Employees/Relevant Individuals Obligations & Consequences of Violations:

Every Eternity Solutions employee/relevant Individual, who deals with or comes into contact with Personal Data regardless of its origin, shall have a responsibility to comply with the applicable law concerning data privacy and specific privacy practices. The Employee/Relevant Individual should seek advice in the event of any ambiguity while dealing with Personal Data or in understanding this Policy. The Employee/Relevant Individual shall be diligent and extend caution while dealing with Personal Data of others, in the course of performance of his/her duties and shall also, at all times:

  • Prevent any un-authorized person from having access to any computer systems processing Personal Data, and especially
  • un-authorized reading, copying, alteration, deletion or removal of data
  • un-authorized data input, disclosure, uploading, transmission/transfer of Personal Data
  • Abide by Eternity Solutions internal logical and physical security policies and procedures.
  • Ensure that authorized users of a data-processing system can access only the Personal Data to which their access right refers.
  • Keep a record of which personal data have been communicated, when and to whom.
  • Not provide any Personal Data to any third party without first consulting with his/her Manager or the Human Resources Department.
  • Ensure that Personal Data processed on behalf of a third party (client) can be processed only in the manner prescribed by such third party.
  • Ensure that, during communication of Personal Data and transfer of storage media, the data cannot be read, copied or erased without authorization.
  • Immediately, on becoming aware report and notify any vulnerabilities and privacy related breach/security breaches (including potential risks).
  • Attend trainings on security and data privacy
  • Handle Gmail access credentials and data with utmost security and confidentiality
  • Use Gmail access only for authorized insurance-related purposes
  • Immediately report any Gmail access violations or security concerns
